A comment on a reel is not a lead. Neither is an “info”, an emoji or a keyword. It is a signal of interest that still needs a clear response, an appropriate channel and someone who takes ownership of the conversation.

Many social media strategies end exactly where the sales work begins. A piece goes out, comments and direct messages arrive, and the team tries to reply between notifications, screenshots and conversations that are not connected to the CRM. If the content gets reach, the problem grows: the most repeated questions eat up time and important enquiries get mixed in with reactions that need no follow-up.

The solution is not to automate everything or to push everyone to WhatsApp without context. It is to design a simple journey:

Content → voluntary interaction → useful first response → channel choice → human conversation → CRM and follow-up.

Instagram, TikTok and WhatsApp can all be part of that journey, but they do not do exactly the same job. This guide explains what to automate, what a person should keep, and which limits to review before launching a campaign with Manychat or another messaging platform.

The problem is not receiving many messages; it is not knowing what happens to them

A brand publishes a video about a service, an offer, a case or a frequently asked question. At the end it asks: “Comment GUIDE and we'll send it to you”. The piece works: comments and DMs arrive.

In a disorganized scenario, someone checks the profile hours later. They reply manually to some people. Others get a link with no explanation. Some conversations move to WhatsApp, but the advisor does not know which video the person watched or what they asked for. In the end, neither marketing nor sales can tell how many useful conversations came out of the post.

The goal of well-designed automation is not to fake a human conversation. It is to handle the first stretch of the conversation consistently:

  1. confirm that the person received a response;
  2. deliver the resource, the explanation or the promised next step;
  3. collect only the necessary context;
  4. detect when a person is needed;
  5. record source and interest so nobody starts from zero.

This shifts the question from “which bot do we install?” to “what should happen when someone responds to this content?”.

Not every interaction deserves the same journey

A common mistake is designing a single flow for every comment. Not all signals indicate the same intent.

Automation must respect that difference. Someone who asked for a guide did not necessarily ask for a call. Someone who needs to resolve an urgent issue should not have to go through a questionnaire designed to capture subscribers.

Instagram: the most direct channel to start with

For many service businesses, Instagram is the most practical starting point because content, comments and direct messages live in the same environment.

Manychat lets you connect a professional Instagram account — Business or Creator — and build DM automations. Connecting via Meta supports features such as Follow to DM and measurement through the Conversion API; certain agency or advertising flows may require an account linked to a Meta Business Portfolio or to a Facebook page. That does not mean every post should trigger a sequence. It means you can choose content where an interaction makes sense as the start of a conversation.

Three sensible uses for Instagram DM

1. Deliver a promised piece

Example: a reel explains three mistakes people make when requesting renovation quotes and ends with “Comment PLAN and we'll send you the list of questions to prepare a first conversation”. The DM delivers the resource and asks, optionally, whether the person is planning a renovation, comparing providers or simply researching.

2. Answer repeated questions with a clear route

If a brand receives daily questions about coverage area, process or requirements, a first response can resolve the doubt without forcing an agent to repeat exactly the same thing. The flow must include a visible exit: “If your case is different, reply to this message and a person will review it”.

3. Qualify without turning the DM into a form

One or two questions can help direct the conversation: type of need, city or priority. Asking for full name, phone, budget, date, email and a brief before contributing anything is usually a fast way to cool interest down.

The rule is the same as on a web form: every data point must change the response the person will receive. If it changes nothing, it can wait.

WhatsApp is continuity, not a back door for messaging without permission

When a conversation needs speed, coordination with a team or the exchange of additional information, WhatsApp can be a great next step. But it must be a conscious choice by the person and not an automatic destination for every DM.

Manychat connects WhatsApp through Meta's WhatsApp Business Platform. You can use an existing number or a new one; before migrating or connecting a number, it is worth reviewing which WhatsApp Business app capabilities may not be available and backing up the history, because the history is not transferred to Manychat. The handover must carry a concrete promise. For example:

  • “If you'd rather arrange a visit over WhatsApp, share your number and we'll write to confirm availability.”
  • “We can continue on WhatsApp if you want to send photos of the space; we'll only use the number to review this enquiry.”
  • “Would you prefer us to reply here or on WhatsApp?”

It is not necessary to move every conversation to WhatsApp. Sometimes a DM resolves the question. Other times it is better to send the person to a service page, a call booking or a short form that structures the request better.

Consent, messaging window and templates

The channel does not remove the obligations of context and consent. The team must know what the person authorized, which content they came from and why they will receive a message.

If a contact is created via API or arrives from another platform, Manychat states that, to start communication outside the 24-hour window, WhatsApp message templates and opt-in conditions are used. Manychat: WhatsApp contacts and templates

In practice, this means the campaign must be designed before the content goes live:

  • which action constitutes the opt-in;
  • which first message the person expects to receive;
  • when a team member steps in;
  • what kind of follow-up is appropriate;
  • how they can stop receiving communications they no longer want.

Useful automation reduces oversights. It does not turn unclear consent into a good experience.

TikTok: an interesting promise, with availability you have to verify

TikTok can generate many questions in a short time, especially when the content explains a problem the audience recognizes. However, TikTok automation should not be sold as if it were available to every client.

According to Manychat's current documentation, connecting requires a TikTok Business account; personal and Creator accounts are not supported. In addition, the channel rolls out by region and, currently, users located in the European Union and the United Kingdom cannot connect TikTok to Manychat. Manychat: TikTok availability

This matters especially for clients in Spain. In those cases, TikTok can still be part of the content and acquisition strategy, but the journey must rely on available mechanisms: a link to a clear page, WhatsApp with an explicit call to action, an optimized form or an organized human response from the inbox. Native TikTok automation should be treated as a capability to validate by country and account, never promised commercially — including for EU and UK users — without verification.

In regions where the channel is available, Manychat documents uses such as answering frequently asked questions, voluntary data collection in DMs, assignment to an agent and sending people to a page. It also notes that features such as comment-to-message and clickable links or buttons in messages were announced as coming soon, so they should not be included in a flow sold today without confirmation. Design a flow a person can explain in one sentence

A good flow does not need to be complicated. If you cannot explain it to the team in one sentence, it will be hard to run well.

For example:

“Anyone who comments AUDIT on this reel receives a checklist through Instagram; if they say they are evaluating their website this quarter, we offer a WhatsApp conversation or a call and record the source content in the CRM.”

That journey answers five operational questions:

At a minimum, the record can store:

  • source channel: Instagram, TikTok, WhatsApp, web or other;
  • content, campaign or keyword that triggered the conversation;
  • interest stated by the person;
  • time of the last interaction;
  • consent and channel preference where applicable;
  • owner and next action.

This is not about turning every interaction into a file. It is about keeping the context that makes a coherent response possible. If an advisor receives a lead who asked for “AUDIT” after watching a specific reel, they can continue the conversation with a useful question instead of sending a generic message.

Automate the first layer; keep the human decision

There are tasks automation handles well:

  • confirming that a message arrived;
  • delivering the offered resource;
  • answering a frequent and stable question;
  • tagging the source of a conversation;
  • proposing clear next-step options;
  • alerting the team when a defined signal appears.

And there are tasks that should stay with a person:

  • deciding whether a complex case is a fit;
  • responding to a complaint, an urgency or a sensitive situation;
  • promising price, availability or scope without sufficient context;
  • interpreting ambiguous information;
  • holding a high-value sales conversation.

The difference is not ideological. It is operational: an automatic response can save time, but it does not have the judgement to resolve every situation. Designing the handoff is as important as writing the first message.

How to measure whether the system really helps

The number of comments, started conversations or followers can be useful to understand reach, but it is not enough to decide whether the system works.

Avoid drawing conclusions from volume alone. A post can generate many requests for a resource and few sales conversations; that does not make it useless, but it does require measuring it against its real objective.

A two-week pilot before scaling

You do not need to connect every post, every network and every database on day one. A pilot lets you learn without turning the operation into a permanent experiment.

  1. Pick content that already answers a real customer question.
  2. Define a keyword or a voluntary entry action.
  3. Offer a resource or answer that keeps the promise.
  4. Ask a single context question, if it genuinely changes the next step.
  5. Design the escalation: who responds, through which channel and within what timeframe.
  6. Record source and outcome in the CRM.
  7. Review conversations, recurring doubts and cases the flow did not understand every week.

The pilot usually reveals problems a mockup does not show: keywords the audience does not use, a response that sounds too automated, hours with no coverage, or a question nobody wants to answer yet.

Checklist before connecting Instagram, TikTok or WhatsApp

  • Does the content promise something concrete and deliverable?
  • Is the interaction that triggers the flow voluntary and understandable?
  • Does the initial response help, even if the person does not buy?
  • Are we asking only for data that changes the next step?
  • Is there a clear exit to a person?
  • Is WhatsApp used with context, consent and an explicit expectation?
  • Does the CRM keep the channel, source content and stated interest?
  • Does the team know who handles each type of conversation?
  • Is TikTok actually available for the client's region and account type?
  • Is there a way to review, stop and improve the flow?

Can you connect Instagram with WhatsApp using Manychat?

Yes, Manychat offers channels for Instagram and WhatsApp. The journey must be designed so the person chooses or authorizes continuing on WhatsApp when it adds value. Connecting the tools does not replace consent, message clarity or a human response when one is needed.

Can I automate TikTok messages with Manychat in Spain?

It should not be assumed. Manychat's documentation states that the TikTok channel requires a Business account and that, currently, it is not available to users located in the European Union or the United Kingdom. Availability should be verified before including it in a proposal.

What should I ask for in an automated DM?

The minimum needed to respond or prioritize. If someone asked for a guide, you may not need a phone number. If they request a visit or a quote, area and type of need may be relevant. Always explain what will happen next.

Is a keyword comment consent to write on WhatsApp?

Not necessarily. A comment can trigger a response within the channel where the interaction happened, but the move to WhatsApp should be explained and chosen by the person. Also review the specific channel conditions and opt-in configuration before sending later communications.

Can automation replace the social media or sales team?

The conversation does not end on the social network
